Current positions

Senior Event Manager

Full time | Location: Montreal and remote | Salary range: $70,000-$80,000 CDN | Starting February, 2023

Event Management for Embrase requires a great attitude, impeccable attention to detail, great communication and an ability to see and manage the big picture across all our events. Requirements

The successful candidate will suggest ways to improve the business and take an active role in growing the organization and further streamlining the effectiveness of the processes the organization uses.

To apply for this position, you must have:

  • A minimum of 5 years of event management experience.
  • Fluency in both spoken and written French and English.
  • Attention to detail, with a process-driven mindset and flawless organization.
  • The ability to create and stick to a schedule of deliverables, and see tasks through to completion.
  • The ability to see the big picture and coordinate with the various stakeholders to ensure deadlines are met and processes are in place. 
  • Familiarity with a variety of technical platforms:
    • Task management systems (Slack, Wrike.)
    • The Google Suite (Calendar, Mail, Docs, Hangouts, and Sheets.)
    • Registration (Eventbrite, Tito) and payment (Stripe, Square) platforms.

In addition, the ideal candidate will:

Tasks and responsibilities

You will have several key responsibilities that fall under the Event Management umbrella. They will include process management for the team and its activations, resource planning and management, event setup and operations and event registration.

Project Management:

  • Planning and defining scope of new projects (time/cost estimations).
  • Creating project timelines and templates that can be shared and communicated easily (flowcharts, GANTT charts, calendars, etc.)
  • Ensuring division of tasks are clear, and assigned.
  • Creating Wrike task templates as necessary.
  • Creating the weekly team meeting agendas and running the meetings.
  • Flagging any conflicting information and reconciling any inconsistencies.
  • Holding team members accountable for deliverables and ensuring they are using Wrike to track timelines and progress.
  • Working with vendors, clients, sponsors or partners to coordinate and deliver their special events.
  • Defining project scope.
  • Staying on top of deliverables / budget / billing.

Monitoring and reporting progress / issues:

  • Report on project/program progress.
  • Tracking a project and investigating on busted timelines / see where people need support / flag issues.

Resource planning:

  • Making sure all resources are being managed properly / used efficiently.
  • Cutting back when fewer people are needed / bringing in seasonal work force when needed.
  • Budgeting / managing seasonal staff needs.
  • Ensuring that contracts are prepared.

Working environment

While it’s impossible to predict exactly how a work-week will happen, your time will likely break down as follows:

  • 20% meetings and documentation.
  • 70% processes, planning and execution.
  • 10% other.

During working hours, you’re expected to be generally available on Slack, Wrike, and by phone/video conference as necessary. We set Monday and Wednesday as meeting days, and are currently working remotely as a team. The office (1361-2 Greene Avenue in Westmount) remains available to employees who prefer working from an office, and on occasion the team will gather in person for meetings and brainstorming sessions. The Event Manager would ideally start working in the office to get acquainted with systems and processes and once they have a deep understanding of the workflow would have the flexibility to work from either their home or the office as needed.

Vacations and benefits

This is a full-time position within the province of Quebec. It includes 3 weeks’ paid vacation, plus holidays as agreed to by the organization from time to time. During events, you may be expected to be onsite, and should be able to travel on a current passport if necessary. Given that the team may be called on to travel, Embrase does have a mandatory COVID vaccination policy in place for all full time employees.

We have a profit-sharing program in which employees participate according to seniority of position and time with the organization, structured similarly to an option plan. Our goal is for all contributors to an event to benefit from its success in a clear, equitable manner. Event Coordinator

Full time | Location: Montreal and remote | Salary range: $45,000-$55,000 CDN | Starting February, 2023

Event coordination for Embrase requires a great attitude, impeccable attention to detail, great communication and an ability to juggle many tasks simultaneously. The successful candidate will approach challenges with positivity and a problem solving mindset. They’re strong communicators, able to deliver on time and follow tasks through to completion. 

You’ll enjoy working with an energetic, enthusiastic team and some of the brightest founders, academics, and public servants on the planet. You’ll deliver world-class events in iconic locations. And you’ll benefit from a flexible work environment that combines onsite conferences, in-office teamwork, and work-from-home lifestyle.

Requirements

The successful candidate will enjoy multi-tasking and working within a small, largely horizontal team.

  • Coordination of event logistics.
  • Research vendors and coordinate purchases.
  • Data / lists management.
  • Coordination of event volunteers and tasks. 
  • Coordination of subcontractors and partners for outsourced tasks.
  • Preparing event reports on logistics and overall experience with suppliers.
